Personal Assistant / Chief of Staff Job In Kuwait

A Kuwait City based entrepreneur is hiring a highly organised, proactive and detail oriented professional to support day to day operations, executive administration, financial coordination and business management. Requirements: - Bachelor's degree in business administration, management, finance or a related field is preferred. - Minimum 5 years of experience as an executive assistant, personal assistant or chief of staff. - Strong organisational and time management skills with the ability to prioritise multiple tasks. - Excellent written and verbal communication in English, Arabic is an advantage. - Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and productivity tools. - Experience in financial administration, budgeting and document management. - Able to work independently, maintain confidentiality and exercise sound judgement. - Strong interpersonal skills to coordinate with senior executives, clients, lawyers, brokers and government authorities. Preferred Skills: - Experience supporting entrepreneurs or C-level executives. - Knowledge of Kuwait's business environment and administrative procedures. - Strong analytical, problem solving and follow up skills. - Able to work under pressure and manage competing priorities. Key Responsibilities: - Manage the executive's calendar, appointments and meeting schedules. - Coordinate, attend and document meetings, prepare minutes and track follow up actions to completion. - Monitor and manage renewals of visas, licences, insurance policies, memberships and property documents. - Maintain an organised digital and physical document system covering contracts, identification documents, policies, legal records and property deeds. - Consolidate monthly bank and brokerage statements into concise financial summaries. - Track invoices and recurring payments and ensure timely settlement of financial obligations. - Prepare, monitor and manage the executive's annual personal expense budget. - Coordinate with lawyers, brokers, consultants and government agencies on property purchases and business matters. - Organise business documentation, presentations and meeting materials for ongoing projects and transactions. - Schedule business calls, meetings and appointments with internal and external stakeholders. - Handle travel arrangements, itineraries, accommodation bookings and property related logistics. - Monitor action items and deadlines and ensure tasks are completed on time. - Provide administrative and operational support to improve business efficiency. - Maintain strict confidentiality while handling sensitive business and personal information. Requirements: - Previous experience in Procurement / Purchasing, preferably with MEP and Civil materials. - Experience dealing with local and international suppliers. - Good knowledge of MS Office, especially Excel and Word. - Strong communication, negotiation, sourcing, and follow-up skills. - Ability to manage multiple quotations, orders, and deadlines. - Good English communication skills. - Knowledge of Kuwait suppliers and the local market is an advantage. - Valid Kuwait Driving License is preferred. Key Responsibilities: - Source and purchase MEP, Civil, Electrical, Mechanical, Plumbing, tools, equipment, and general materials. - Source products from local and international suppliers. - Request, compare, and negotiate supplier quotations, prices, availability, and lead times. - Prepare purchase orders, quotations, and procurement documents. - Coordinate with suppliers regarding order status, delivery schedules, and shipment arrangements. - Follow up on pending orders and ensure timely deliveries. - Maintain accurate procurement records, supplier information, and purchase trackers. - Coordinate with logistics and warehouse teams for receiving and delivery of materials. - Assist with invoice checking and procurement documentation. - Support the Procurement Officer / Manager with daily procurement activities.
